Task generation settings

Choose whether Lightfield suggests, creates or updates tasks, and who sees its suggestions.

Lightfield listens for commitments in your recorded meetings and customer emails, such as “I’ll send the order form by Friday”, and turns them into tasks. Settings → Tasks decides how much it does on its own, for the whole workspace. For working with tasks day to day, see Tasks.

Tasks settings are on every plan. Only owners and admins see the Tasks tab.

Task creation, under Automation, controls how tasks are created from your conversations:

Task creationWhat happens
OffLightfield doesn’t create tasks from your conversations.
Suggested (default)Lightfield suggests tasks for you to accept or dismiss, on the related account or opportunity and on Up next.
AutoLightfield creates tasks without review.

Start on Suggested. You see what Lightfield picks up before it lands on anyone’s task list, and you can move to Auto once the suggestions look right.

  1. Open Settings → Tasks.
  2. Under Automation, choose Off, Suggested or Auto next to Task creation.

The change saves straight away.

To change what Lightfield treats as a task, click Edit prompt next to Task creation and adjust the instructions it follows. For example, add “Don’t create tasks for scheduling follow-up meetings” if your calendar already covers those.

Automatically update tasks (off by default) lets Lightfield mark tasks complete or update their details based on new activity in your emails and meetings.

  1. Under Automation, turn on Automatically update tasks.
  2. Lightfield asks Accept existing suggestions? Choose Accept all to accept the suggested tasks already waiting for review, or Skip to leave them for people to review.

Closing the dialog without choosing leaves the setting off. Turning it off again saves straight away.

Only show suggestions to record owners, under Suggestion access (off by default), shows suggested tasks and record updates in Up next and on record pages only to the owner of the account or opportunity. Turn it on when each rep works their own book, so teammates’ suggestions don’t crowd their Up next. It applies to suggested record updates as well as tasks.

Lightfield isn’t creating tasks from my meetings

Check Task creation. With Suggested, the default, any tasks Lightfield finds wait as suggestions on the related account or opportunity until someone accepts them. If Only show suggestions to record owners is on, only the record’s owner sees them.

If nobody sees suggestions either, check that Task creation isn’t Off, and that the meeting was recorded or has a transcript; see Meetings.

Keep Task creation on Suggested while you refine the instructions with Edit prompt. Add a specific exclusion, such as “Don’t create tasks for scheduling follow-up meetings.” Choose Off if you don’t want future tasks created from conversations. Review existing tasks and suggestions separately.

The change didn’t save. Refresh the page, check the setting, and change it again.

How do I stop Lightfield from creating tasks automatically? Set Task creation to Off. Choose Suggested instead if you still want Lightfield to propose tasks for people to accept.

Can I change what Lightfield treats as a task? Yes. Click Edit prompt next to Task creation and change the instructions Lightfield follows.

Can members change these settings? No. Only owners and admins see Settings → Tasks. Members accept or dismiss the suggestions they see.
