Tables, views and exports
Filter, sort and save views of your record tables, share them with your team, and export records as CSV, Excel or JSON.
Every record type in Lightfield has a table, such as Accounts, Contacts and Opportunities. A view saves how you look at a table: its filters, sort order, columns and layout. Views stay current as records change. To hand-pick a group of records instead, use a list.
Who can use it
Section titled “Who can use it”Tables, views and exports are on every plan. Owners, admins and members can create and change views. Viewers can use views and export, but can’t create or change them.
Filter, sort and search a table
Section titled “Filter, sort and search a table”- Filter. Click Filter and pick a field. Filters work on custom fields too, including is empty and is not empty. You can also filter by a related record, such as every contact at Northwind Robotics, or by Pipeline.
- Filter to your own records. Filter by Owner (or Assignee on tasks, or Created by) and choose Me at the top of the list. Me always means whoever is looking, so one shared “My accounts” view shows each person their own accounts. It also works on member fields of custom objects.
- Sort. Sort by any column, such as opportunities by close date.
- Find in view. Search the view for matching keywords.
- Column totals. Click Add operation under a column in the footer to show a sum, average, min, max, or a count or percent of empty or filled values, such as the total amount of the deals shown.
Open Display to switch between Table and Board and choose which properties to show. Drag column headers to reorder them, and edit values directly in the table or on the board.
Until you save, changes apply only to your screen.
Save your filters as a view
Section titled “Save your filters as a view”Each table starts with a default view that shows every record.
- Open Accounts, Contacts, Opportunities or a custom object, and set the filters and sort order you want on the default view.
- Click + at the end of the view tabs (Create a new view).
- Enter a Name. Private view is on by default, which keeps the view to you. Turn it off to share the view with the workspace.
- Click Create.
The new view opens as its own tab with its own URL you can bookmark or share. A shared view shows up for everyone in the workspace. A private view shows a lock icon, and only you can see the view, admins included. Making a view private does not change access to its records; see Privacy and access.
Change a saved view
Section titled “Change a saved view”Any owner, admin or member can save changes to a shared view, so tell your team before you change one they rely on.
- Change the filters, sort or columns.
- Open Display and click Save view for everyone (Save view on a private view). Reset throws your changes away.
From a view’s options you can also Rename it, Delete view, or choose Make this my default view.
Default views can’t be renamed or deleted (Default views cannot be edited), but you can save their layout with Save default for everyone.
Change who can see a view
Section titled “Change who can see a view”Right-click the view’s tab, or open its options, and choose Make private or Share with workspace. Only the person who created the view can change who sees it. Default views are always shared.
Resize a record’s details panel
Section titled “Resize a record’s details panel”On an account, contact or opportunity page, drag the left edge of the right-hand details panel to make it wider or narrower. Lightfield remembers the width in your browser and uses it on other record pages. The resize handle is hidden on narrow screens.
This changes your layout, not the record or a shared view.
Update several records with the agent
Section titled “Update several records with the agent”Before a large update, filter to the records you intend to change and check the selection. Ask the agent for a specific change, such as “Set ICP tier to Tier 1 for accounts in the SaaStr prospects list.” Review which records and values it proposes before approving the change. Viewers cannot update records.
After the update, check a few records in the table. For a calculated or read-only field, change its source data or definition instead; see Data model.
Export a view
Section titled “Export a view”Use this for Accounts, Contacts and Opportunities, and lists of them.
- Open the table or list with the filters and sort you want. The export includes what the view shows.
- Click Import / Export at the top of the table (Export if you aren’t an admin).
- Choose Export view as CSV, Export view as Excel (XLSX) or Export view as JSON.
Lightfield shows Export started and prepares the file in the background. When it’s ready, the file downloads and you see Export complete with the number of records.
Open the downloaded file and check the record count and a few rows against the filtered view. The file is a snapshot; later record changes do not update it.
Admins also see import options in the same menu. See Import history.
Export with the agent
Section titled “Export with the agent”Tasks, notes, meetings and custom object tables have no export menu. For those, or any other slice of your data, ask the agent in chat:
- “Export every open task assigned to me to a CSV.”
- “Export accounts with ARR over $1M to a CSV.”
The agent exports accounts, contacts, opportunities, meetings, tasks, notes, custom object records and list members as CSV. Exports include standard and custom field values, plus columns for related records, such as the account an opportunity belongs to. For records in pipelines, the pipeline and the stage are separate columns.
For a one-off question you won’t ask again, skip the view and ask the agent: “Show me opportunities closing this month with no activity in the last 7 days.” For charts that stay live, see Dashboards.
Common questions
Section titled “Common questions”What’s the difference between a view and a list? A view is a saved filter that updates as records change. A list holds the records you add to it until you remove them.
Can other people see my saved views? Yes, unless the view is private. Shared views show up for the whole workspace; private views show a lock icon and only you can see them.
How do I filter to only records I own? Filter by Owner and choose Me. Save it as a shared view and it shows each person their own records.
Can Viewers export? Yes. Everyone in the workspace can export, Viewers included.
