Viewer seats
Give read-only teammates the Viewer role so they can look up records and ask the agent questions without a capture seat.
Available on Pro, Growth and Enterprise
A Viewer can look up every record they have access to and ask the agent questions, but can’t change anything. Viewers use a Viewer seat instead of a capture seat, because Lightfield doesn’t sync their mail and calendar or record their meetings.
Who can use it
Section titled “Who can use it”Viewer seats are on Pro, Growth and Enterprise. On Starter, everyone in the workspace uses a capture seat, and the Viewer option in the role menu shows Unavailable for Starter plan. To add Viewers, an admin changes the plan in Settings → Billing; Billing covers what Viewer seats cost.
Owners and admins add Viewers in Settings → Members.
Earlier plans can differ. Check your workspace’s available features.
What a Viewer can and can’t do
Section titled “What a Viewer can and can’t do”A Viewer can:
- view the records they have access to, and dashboards
- ask the agent questions in chat
A Viewer can’t:
- create or edit records, notes or tasks, including a deal’s stage
- have the agent change records for them
- connect mail and calendar, record meetings, or use connectors, so Mail and Calendar, Recording and Connectors don’t appear in their Settings
- create or send sequences
Make someone a Member if they talk to customers or update deals: Lightfield captures their email and meetings, and they can edit records. Make someone a Viewer if they only need to look things up, such as a finance lead or an investor.
Invite a Viewer
Section titled “Invite a Viewer”- Go to Settings → Members.
- Enter one or more emails in Invite via email.
- Choose Viewer and click Invite.
The invite appears in the pending list as Invited as Viewer. When every capture seat is taken, the page says Your workspace seats are filled, but you can still invite viewers, so you can still add read-only teammates.
Change a member to a Viewer
Section titled “Change a member to a Viewer”Changing someone to Viewer stops everything that runs through their mailbox, so check the dialog before you confirm.
- In Settings → Members, open the person’s role menu and choose Viewer.
- Read Change [name] to Viewer?. It lists what applies to this person:
- Their email and calendar will stop syncing.
- Automations and sequences that send messages through them stop running.
- Slack or Teams channels they linked to accounts or opportunities stop syncing.
- Workspace API keys they created become invalid.
- The accounts and opportunities they own, for your information. They stay the owner.
- If they have tasks, next to Reassign [name]‘s [n] tasks to, pick a teammate in Select member. This is optional.
- Click Change to Viewer.
To undo it, change their role back to Member. They then reconnect their own mail and calendar in Settings → Mail and Calendar, and you turn back on any automations or sequences that stopped.
Troubleshooting
Section titled “Troubleshooting”I can’t edit a record or change a deal’s stage
Section titled “I can’t edit a record or change a deal’s stage”Your role is probably Viewer. Hovering a field shows Your role can’t edit records. Ask an owner or admin to change your role to Member in Settings → Members. Until then, tell a teammate who can edit what should change.
If the field instead shows You don’t have permission to edit this record, your role allows editing but the record’s permissions don’t; see Groups and permissions.
I can’t find Mail and Calendar in Settings
Section titled “I can’t find Mail and Calendar in Settings”Viewers don’t connect mailboxes, so the tab is hidden. If you need your email and meetings in Lightfield, ask an admin to make you a Member.
Common questions
Section titled “Common questions”How is a Viewer different from a Member? A Viewer can view records and dashboards and ask the agent questions. A Member can also edit records, connect mail and calendar, and send sequences.
Does a Viewer use a capture seat? No. Viewers use a Viewer seat, and Lightfield doesn’t capture their email or meetings.
Can a Viewer see everything in the CRM? The Viewer role prevents changes; it doesn’t make all activity visible. Private email and meeting content follows its own visibility rules. See Privacy and access.
