Contacts
Understand how contacts are created, add a contact yourself, and keep every email address a person uses on one contact.
A contact is a person, such as “Sarah Chen, VP Sales at Acme”. Lightfield attaches each contact to the account for their company.
Who can use it
Section titled “Who can use it”Contacts are on every plan. Owners, admins and members can create, edit and delete contacts. Viewers can see contacts but can’t change them.
How contacts are created
Section titled “How contacts are created”Lightfield can create contacts from synced email and meetings. Each connected account’s Account & contact creation setting determines which conversations create them; Off prevents automatic creation. See How records are created.
You can also create contacts yourself, ask the agent in chat, import them, or create them through the Lightfield API.
A contact can be linked to more than one account, for example an advisor who works with several of your customers.
Create a contact
Section titled “Create a contact”- Open Contacts in the sidebar and select Create contact.
- Fill in Account, Name, Email and Phone, and optionally Title (optional).
- To link the person to a deal, pick it in Opportunity (optional). They join the opportunity with the Evaluator role. See Opportunity roles.
- Select Create.
Lightfield shows Contact created successfully and the contact appears in Contacts and on the account.
Or ask the agent: “Add Raj Patel, raj@acmecorp.com, Head of IT at Acme.”
Add more than one email address
Section titled “Add more than one email address”A contact can have several email addresses, so you can track every address a person uses without creating duplicates.
- Open the contact.
- Select the email field, type the address in Add email, and press Enter.
The contact now shows both addresses, and emails and meetings with either one attach to it.
Change a contact’s photo
Section titled “Change a contact’s photo”If you can edit the contact, click its photo at the top of the record and choose an image. If a custom photo is already set, the menu offers Upload photo and Remove photo. The photo updates after the upload; removing it can reveal a previously synced photo.
The same file types and size limit apply as for your profile photo. Viewers and people without edit access cannot change contact photos.
People who use personal email addresses
Section titled “People who use personal email addresses”Whether Lightfield creates contacts from personal addresses such as @gmail.com is set for each connected account by Create contacts from personal email addresses (eg. @gmail.com, @outlook.com) in Settings → Mail and Calendar. You can also create the contact yourself and link it to the right account; emails and meetings with that address then attach to it.
Delete a contact
Section titled “Delete a contact”Deleting a contact unenrolls it from any sequences it is in. Check that consequence before you delete it from the contact’s menu. Deleted contacts wait in Deleted Items, where you can restore them. See Deleted items.
Troubleshooting
Section titled “Troubleshooting””The email address you entered is already in use by another contact”
Section titled “”The email address you entered is already in use by another contact””Another contact already has that address. That’s usually a duplicate of the same person. Ask the agent in chat to merge the two contacts, and the addresses move to the contact you keep. See Merge duplicate records.
”A contact associated with one of the provided emails is in Deleted Items”
Section titled “”A contact associated with one of the provided emails is in Deleted Items””The address belongs to a deleted contact. Restore that contact from Deleted items, and merge it if it’s a duplicate, instead of creating a new one.

Common questions
Section titled “Common questions”How do I add a second email address to a contact? Open the contact, select the email field, type the address in Add email and press Enter.
Can a contact belong to more than one account? Yes. Ask the agent to link the contact to the other account, for example “Link Sarah Chen to Northwind Robotics as well as Acme.” Review the proposed change before approving it.
Does Lightfield create contacts from Gmail addresses? It depends on the personal email setting for each connected account in Settings → Mail and Calendar. You can create the contact yourself or ask the agent to create it.
Will Lightfield create a contact again after I delete it? No. Lightfield doesn’t recreate a deleted contact from new email.
