Dashboards

Learn what dashboards show, who can see each one, which report types and data they support, and what they can't do yet.

Available on Pro, Growth and Enterprise

A dashboard is a page of live reports built from your CRM data. Each report reads current CRM data when it loads. Open Dashboards in the left sidebar to see the dashboards you can open.

Dashboards are on the Pro, Growth and Enterprise plans. On the Starter plan, Dashboards doesn’t appear in the sidebar; you can still get one-off reports in chat. Scheduled reports require automations, which are on the same plans as dashboards. See Reports in chat.

Only owners and admins create and change dashboards. Everyone else, Viewers included, opens the dashboards an admin has made visible to the workspace, and can explore them. See Create and change dashboards and Explore a dashboard with chat.

New dashboards are private and show a Private label at the top.

VisibilityWho can see it
PrivateThe admin who created it, and other admins
WorkspaceEveryone in the workspace

Admins see every dashboard, including other admins’ private ones. Sharing a dashboard’s link doesn’t give access: the person must be in your workspace and able to see the dashboard.

Reports aren’t filtered by each viewer’s own access. Everyone who can see a dashboard sees the same numbers, charts and underlying records as the admin who built it. Check a dashboard before you make it visible; see Share a dashboard with your workspace.

A dashboard can include:

  • Metrics: a single number, such as total pipeline or average deal size.
  • Bar charts: vertical, horizontal, grouped or stacked.
  • Line charts: trends over time, with one or more series.
  • Pie charts: a total broken down by category.
  • Radar charts: values compared across several dimensions.
  • Tables: rows and columns of detailed data.
  • Markdown: text for context, notes or instructions.

Reports can draw on accounts, opportunities, contacts, tasks, notes, meetings, emails and email threads, lists, members, custom objects, the relationships between records, and pipelines and stages. Because Lightfield keeps a history of field changes, a report can also show how a value changed over time, for example how pipeline by stage looked at the start of each month.

Some content stays out of reports. Reports see who was on an email or meeting and when, but not the email text, the meeting title or the transcript text. They see a note’s title but not its body, and they can tell which meetings have a transcript.

A report queries current CRM data when it loads. Changing the report’s calculation or layout is separate from updating CRM fields. For example, calculating a converted amount in a report does not create a stored currency field on the opportunity. Ask explicitly for a record update if you need to save that value.

Use Reports in chat for one-off or scheduled delivery, and Usage for the costs of viewing and creating reports. Give each dashboard one job, such as a weekly pipeline review, so its date ranges and measures answer the same question.

  • Members and Viewers can’t create or edit dashboards.
  • No filter for the whole dashboard, and no filtering one report from another.
  • Report data isn’t filtered by each viewer’s access.
  • A viewer’s date changes aren’t saved.
  • Drill-down results can’t be opened as a saved view.
  • No public links, guest access or embedding.
  • No connection to outside databases or BI tools. To use your data in a BI tool, export it; see Reports in chat.
  • No reports on chats, automation runs, files or attachments.
  • A report keeps at most 1,000 rows of results.
  • There’s no point-and-click report builder or SQL editor. You build and change reports by describing them in chat.

Check your workspace’s plan: dashboards are on Pro, Growth and Enterprise. Every plan supports one-off reports in chat. If your plan includes dashboards but the page is missing, see A feature is missing.

If Dashboards shows Dashboards created by admins will appear here., no admin has made a dashboard visible to the workspace yet. New dashboards stay private until an admin chooses Make visible to workspace.

Can members build dashboards? No. Only owners and admins create and change dashboards. Members can ask an admin to build one, or ask the agent for a one-off report in chat.

Do dashboards update on their own? Yes. Each report runs against your current data every time it loads.

Can a dashboard show data a member can’t otherwise open? Yes. Reports aren’t filtered by each viewer’s access, so check every report before you make a dashboard visible to the workspace.

Can I share a dashboard with someone outside my workspace? No. Dashboards have no public links or guest access. Export a report’s data or chart from the report instead.
