Find a missing meeting or recording

Check calendar sync, recording controls and transcript sources to find why a meeting or its content is missing.

First check whether the meeting itself is missing or only its recording or transcript. Calendar sync, recording and external transcript imports have different requirements.

Meetings are available on every plan. Owners, admins and members can manage their own recording preferences. Workspace recording settings require an owner or admin. Viewers can read content they have access to but cannot change recording controls.

  1. Go to Settings → Mail and Calendar and open the account whose calendar contains the meeting.
  2. If it shows Disconnected, follow Reconnect a disconnected account.
  3. Check Calendar sync. Internal meetings need All meetings to be tracked.
  4. Check whether the meeting falls within the account’s backsync range, and whether participants match a mailbox or workspace exclusion.

After reconnecting or correcting the relevant setting, check Meetings again. A meeting that is private to other participants may not show its details to you. See Mail and Calendar troubleshooting and privacy controls.

The meeting exists, but it was not recorded

Open the meeting and read the recording banner before changing settings.

What to checkWhat to do
Recording disabled by a workspace adminAsk an admin to check Settings → Meetings. Neither a personal preference nor a recorder invitation overrides workspace disabling.
Personal or meeting-level recording offReview Recording. On a future meeting, use its recording switch before the meeting starts.
Missing or unsupported call linkCorrect the calendar event’s meeting URL. A calendar event alone does not guarantee a link the recorder can join.
Recorder waiting for admissionAdmit the recorder from the call’s waiting room if your meeting policy allows it. A recorder that never entered cannot capture the call.
Host restrictions, login or another recording errorFollow the meeting banner’s specific error. Give the agent the meeting and that error if you need help.
Participant or domain excludedCheck mailbox and workspace exclusion settings before changing them; exclusions can be intentional privacy controls.

While a supported meeting is in progress, eligible participants can use Start recording in its recording banner. Starting now does not recover the part of the call that already happened. If Lightfield warns that an existing transcript will be overwritten, review that consequence before confirming.

A recording exists, but its content is missing

Section titled “A recording exists, but its content is missing”

Open the meeting’s Transcript tab and check its source and processing state. Processing can continue after the call ends. If the recording exists but processing fails or never produces content, send support the meeting link, time and timezone, provider, and visible error.

Do not delete the meeting to retry processing. That can remove context you want to preserve. If another service has a transcript, follow Transcripts to add its text and select the appropriate primary source.

Granola or another external source is missing

Section titled “Granola or another external source is missing”

Check whether the note is linked to the intended calendar event in Granola, whether that meeting exists in Lightfield, and whether it falls within the configured sync range. Connection success alone does not establish a match for every note. Follow Granola troubleshooting before reconnecting or building another import.

For one transcript, uploading its text can be simpler than a recurring automation. Raw video and transcript text are different file types; see Files and attachments.

Can support restore a call the recorder never captured? Only an existing recording or transcript can supply that content. First establish whether Lightfield or another service captured it. Do not assume an unrecorded call can be reconstructed.

Does changing my recording default fix a past meeting? No. It changes future recording behavior. For a past meeting, look for an existing transcript. If a recording exists but failed to process, ask the agent to inspect the meeting and its error.
