Data model
Add, edit and archive fields in Settings → Data model, and choose how AI fill and enrichment keep them up to date.
Your data model is the set of fields Lightfield tracks on each kind of record. Every workspace starts with default fields for accounts, contacts and opportunities. You add fields for what matters to your business, such as ARR, ICP tier or funding stage, and decide per field how much Lightfield fills in on its own.
You don’t have to get the model right on day one. Your emails and transcripts are kept, so you can add structure as you learn what’s worth tracking.
Who can use it
Section titled “Who can use it”Custom fields, AI fill and enrichment are on every plan. Everyone in the workspace can open Settings → Data model to see the fields; only owners and admins change them. Changes apply straight away for everyone and show on all existing records.
Earlier plans can differ. Check your workspace’s available features.
Open an object’s settings
Section titled “Open an object’s settings”Go to Settings → Data model and choose an object: Accounts, Contacts, Opportunities or one of your custom objects. Each object has these tabs:
- Fields: the object’s fields and how each one is filled. This page covers it.
- Relationships: how the object links to other objects. See Relationships.
- Display: the order and grouping of fields on record pages. See Display settings.
- Conditions: show a field only when another field has a certain value. On Enterprise. See Display settings.
- Permissions: who can create and edit the object’s records. On Enterprise, for owners and admins. See Groups and permissions.
Create a field
Section titled “Create a field”You can’t change a field’s type after you create it. If you need a different type later, archive the field and create a new one, so pick the type with care:
- Use Number or Currency for anything you want to sort, total or chart. A number stored in a Text field won’t sort or add up correctly.
- Use Date & Time for dates, and keep Text for genuinely free-form values.
- There’s no “user” field type. Owner is the built-in user reference. To link several people to a record, use a custom object with a relationship.
- In Settings → Data model, choose the object and click Create field.
- Enter a Name and a Description.
- Choose a Type. Some types ask for more, such as Options for a select field, a Currency, Decimal places for a number, or the platform for a social handle.
- Choose AI fill: Off, Suggest or Auto (see Let AI fill your fields). For Suggest or Auto, add an AI prompt (optional) that tells Lightfield what to look for.
- Click Create.
The field appears on the object’s Fields tab and on every record.
The types are Text, Number, Currency, Date & Time, Single select, Multi select, Checkbox, URL, Telephone, Social handle (LinkedIn, Facebook, Instagram or X), Address and Full name. On Enterprise, Formula calculates a value from other fields; see Formula fields.
Admins can also ask the agent: “Add a currency field on opportunities called Contract value.” Name the type explicitly (“a currency field”, “a date field”), since the agent won’t always pick the one you’d expect. It proposes the change for you to approve.
Let AI fill your fields
Section titled “Let AI fill your fields”Any field except a formula can be kept up to date from your emails and meetings. Its AI fill setting decides how:
| AI fill | Menu description | Use it for |
|---|---|---|
| Off | Only updated manually | Values with a source of truth outside Lightfield, such as contract value or billing entity |
| Suggest | Suggests updates based on new activity | Every new field |
| Auto | Automatically update based on new activity | Fields you’ve watched on Suggest and trust |
On Suggest, nothing is written until someone approves it on the record. When you switch a field to Auto while suggestions are still waiting, Lightfield asks whether to accept them all.
Start new fields on Suggest. You see the quality of the answers before they touch your data, and each dismissed suggestion tells you the prompt needs tightening. Move a field to Auto when it has been right for a couple of weeks and a wrong value would be obvious to whoever opens the record. For stage updates and how their setting applies across pipelines, see Pipelines.
New and changed fields fill in from new activity. To fill one from past emails and meetings, ask the agent, for example “Fill in Current CRM on all open opportunities from past meetings and emails.”
Write a prompt that works
Section titled “Write a prompt that works”- Ask a question rather than naming a topic. “What CRM and sales tools does this company currently use?” works. “Tech stack” doesn’t.
- Say what a good answer looks like. “Has budget been approved for this purchase? Answer approved, in progress or unknown.”
- Say what to exclude. “Which competing vendors has this customer mentioned evaluating? Exclude tools they use for unrelated purposes.”
- Let it say it doesn’t know. “Answer unknown if this hasn’t come up” is the most useful phrase you can add.
- Match the prompt to the type. A select prompt names the options; a number prompt says the unit.
Choose how fields are enriched
Section titled “Choose how fields are enriched”Lightfield enriches new accounts and contacts with public information when they’re created, including contacts imported from a list you’ve never emailed. Results depend on what’s publicly available.
Each enrichable field on accounts and contacts has an Enrichment setting:
| Enrichment | Menu description |
|---|---|
| Off | Do not enrich. |
| Suggest | Fill empty values automatically and suggest changes to existing values |
| Auto | Fill empty values and update existing values automatically |
Suggest means something different here than for AI fill: enrichment fills an empty field straight away and asks only before replacing a value that’s there.
By default:
- Accounts: name, industry, headcount, revenue range, most recent funding type, address, and X, Facebook and Instagram profiles are on Auto. Website and LinkedIn profile are on Suggest, because a wrong value there is hard to spot and undo.
- Contacts: job title, department, location, X, Facebook and Instagram profiles, and profile photo are on Auto. Name, email and LinkedIn profile are on Suggest. Phone enrichment is Off.
To change one, open the object’s Fields tab, choose Edit field on the field and set Enrichment.
Edit, archive and restore fields
Section titled “Edit, archive and restore fields”- Edit a field. Choose Edit field. You can change its name, description, options and AI settings, but not its type.
- Remove select options. Removing an option clears that value on every record that uses it. Lightfield asks you to confirm first.
- Archive a field. Choose Archive field. It’s hidden and stops updating, but its data is kept. A field used in a formula can’t be archived until you remove it from those formulas.
- Restore a field. Archived fields are listed under Archived fields. Choose Restore field.
Some default fields show System only under Editable by: only Lightfield sets their values. The stage field is managed in Settings → Pipelines, apart from its AI fill.
Related documentation
Section titled “Related documentation”After configuring fields here, follow Fields and relationships to discover their keys and send values from an integration. See the generated definitions reference for the response schema.
For an API integration, see starting and checking an enrichment run.
Common questions
Section titled “Common questions”How many custom fields should I start with? Few. Start with the defaults and add a field when you notice something you keep writing in notes or asking about on calls.
What happens to data when I archive a field? It’s kept. The field is hidden and stops updating until you restore it.
Does Lightfield change my data without asking? Only where you’ve allowed it. Fields on Auto, for AI fill or enrichment, change on their own, and enrichment on Suggest fills empty fields. AI fill on Suggest waits for approval, and turning both AI fill and enrichment Off disables those automatic updates. You can still ask the agent to edit a field in chat.
Why don’t I see the Conditions or Permissions tab? Because of your plan or role. Conditions is on Enterprise. Permissions is on Enterprise and shows only to owners and admins.
