Accounts

Understand how accounts are created from your email and meetings, add an account yourself, and keep each company's domains together.

An account is a company or organization you work with, such as “Acme Corporation”. It’s the home for everything about that company: key facts such as industry and size, the people you’ve met there, your deals, and its emails, meetings, notes and tasks.

Accounts are on every plan. Owners, admins and members can create, edit and delete accounts. Viewers can see accounts but can’t change them.

When your connected account permits record creation, Lightfield can create an account from a new company domain in your email or calendar. For example, a first email to sarah@acmecorp.com creates an “Acme Corporation” account, and Sarah becomes a contact on it.

Each connected account’s Account & contact creation setting determines which conversations create records. Off prevents automatic creation. See How records are created.

You can also create accounts yourself, ask the agent in chat, import them, or create them through the Lightfield API.

Add the company’s website so Lightfield can match it to emails and avoid duplicate accounts.

  1. Open Accounts in the sidebar and select Create account.
  2. In Name, type at least three characters of the company’s name or domain, then pick the company from the results.
  3. If the company isn’t listed, choose Create ‘[name]’ manually. Under Website, type each domain the company uses, such as acmecorp.com, and press Enter after each one. The first domain is the primary one.
  4. Select Create.

Lightfield shows Account created successfully and the account appears in Accounts.

If Domain already in use appears, another account already has that domain. Open the existing account instead, or choose Create anyway if they really are different companies.

You can also ask the agent: “Create an account for Northwind Robotics, northwindrobotics.com.”

An account can have more than one domain, which helps when a company emails from both company.com and company.io.

  1. Open the account.
  2. Select the website field, type the domain in Add domain, and press Enter.

Emails and meetings with either domain now attach to the account.

Deleting an account also deletes its opportunities and files. The confirmation dialog lets you choose whether to delete its contacts, tasks and notes. Check those choices before confirming.

Open the account’s menu and choose Delete account. You can restore deleted accounts from Deleted Items. See Deleted items for what is deleted and restored together.

Ask the agent to inspect its recorded history before changing the value. Name the field and account so it can identify the relevant change.

This usually happens when a company emails from two domains, or when someone created the account by hand before sync picked up the company. Merge the two in chat. See Merge duplicate records.

I see “An account associated with [domain] is in Deleted Items”

Section titled “I see “An account associated with [domain] is in Deleted Items””

The domain belongs to a deleted account. Restore that account from Deleted items instead of creating a new one.

Need more room for record fields? Resize the details panel.

For an integration, choose the account API resource and follow List methods to retrieve records. The account reference lists the endpoint schemas.

For an API integration, see record creation, updates and recovery.

Where do my accounts come from? Lightfield creates them from new company domains in your connected email and calendar. You can also create them yourself, in chat, by import or through the API.

Can one account have more than one domain? Yes. Add each domain in the account’s website field, and email from any of them attaches to the account.

Will Lightfield create an account again after I delete it? No. Lightfield doesn’t recreate a deleted account from new email.

How do I link contacts and deals to an account? Contacts attach to their company’s account automatically, and every opportunity belongs to one account. See Contacts and Opportunities.
