Sequences settings
Configure sequence senders, signatures and deliverability, and fix sender failures.
Available on Pro, Growth and Enterprise
Settings → Sequences controls your sequence senders. Each sender page shows their display name, signature, connected accounts, warmed mailboxes and sending problems.
Who can use it
Section titled “Who can use it”Sequences are on Pro, Growth and Enterprise.
Settings → Sequences is open to owners, admins and members. Viewers don’t see it. Owners and admins see every sender in the workspace; a member sees only their own. The Deliverability switches are for owners and admins only.
The page has three parts: Senders, Sending limits and Deliverability. For the daily limits and send window, see Sending limits.
Turn on your email account for sequences
Section titled “Turn on your email account for sequences”Each person must accept their invite, sign in and connect their mailbox in Mail and Calendar, then enable it for sequences.
Sequence emails and first replies are visible to your whole workspace, whatever the connected account’s visibility setting.
- Go to Settings → Sequences and, under Senders, click your name.
- Under Connected accounts, find the account in the Email rows and open its Email account actions menu.
- Choose Enable for sequences.
The row now reads Enabled for sequences. If it reads Needs reconnect or Needs reconnect with send permissions, reconnect the account in Settings → Mail and Calendar and allow Lightfield to send mail when your provider asks.
Turn on LinkedIn for sequences
Section titled “Turn on LinkedIn for sequences”LinkedIn steps are on Growth and Enterprise. Only you can connect your own LinkedIn account: on a teammate’s sender page, the button reads Only Sam can connect their own LinkedIn account.
- Connect LinkedIn in Settings → External apps. See External apps.
- Open your sender page. Under Connected accounts, the LinkedIn row reads Connected · LinkedIn.
- Open LinkedIn account actions and choose Enable for sequences.
The LinkedIn rows appear on plans with LinkedIn steps, or when an account is already connected. See LinkedIn steps.
Add warmed mailboxes
Section titled “Add warmed mailboxes”Use warmed mailboxes on a separate sending domain, such as jane@try-acme.com, for cold outreach. Warm them up outside Lightfield before uploading.
- On the sender’s page, under Warmed mailboxes, choose Upload CSV.
- Upload a file with the columns
email, passwordandprovider(gmailoroutlook). For Gmail, the password must be an app password. - Choose which connected account catches replies under Replies go to.
- Click Add mailboxes.
Upload results shows Created or an error, such as Not a Gmail app password, for each row. New mailboxes must pass their health check before sending.
Set your display name and signature
Section titled “Set your display name and signature”Each person has one Display name and one Signature for every sequence email they send. There’s no per-sequence signature.
- Open your sender page.
- Under Sender customization, fill in Display name and Signature. The signature is Added to the end of sequence emails. Warmed mailboxes always use it.
- Optional: turn on Rich signature on connected accounts to have your connected account use your Mail and Calendar signatures instead. Manage in Mail and calendar settings opens them. Only you or a workspace admin can change this switch.
Which signature an email gets:
| Sending from | Signature used |
|---|---|
| A warmed mailbox | The sender’s Signature, always |
| A connected account, switch off (the default) | The sender’s Signature. If it’s blank, the email goes out unsigned. |
| A connected account, switch on | Your Mail and Calendar New emails signature on a first email and Replies signature on a follow-up. If that one is set to No signature, the email goes out unsigned. See Email signatures. |
We recommend a plain signature for cold email, with no logos, images or links, because graphics and links can read as marketing automation.
Choose the deliverability switches
Section titled “Choose the deliverability switches”Lightfield checks each address when a contact is enrolled and again before sending, and marks addresses that fail as Undeliverable. Two workspace-wide switches under Deliverability change that, and both raise bounce risk for every sender:
- Send to unverifiable emails: sends to addresses a check can’t confirm, such as those on catch-all domains that accept mail for any address. Off by default, so those recipients are marked Undeliverable and nothing is sent to them.
- Skip email verification: Send without checking whether recipients’ email addresses exist. Off by default. Turning it on asks you to confirm with Skip verification. While it’s on, no address is marked Undeliverable by a check, Send to unverifiable emails has no effect, and addresses that already hard-bounced stay blocked.
Leave both off. Verify your list before you enroll it instead, and turn on Send to unverifiable emails only if a large share of your market sits on catch-all domains.
When a sender stops sending
Section titled “When a sender stops sending”If a sender can’t send, Lightfield pauses the contacts it was sending to, and their enrollments show Needs attention. Contacts on other senders keep going. The sender’s Health shows Failed with a Description, such as The mail server rejected this sender’s username or password. The sender and the owners of affected sequences also get a Sender health notification if they have it on.
The enrollment explains: Once it’s fixed, this contact resumes on its own.
| Why it stopped | What you do | Contacts resume |
|---|---|---|
| A warmed mailbox failed its health check (login, DNS, TLS) | Fix the mailbox or domain (after a login failure, upload it again with its new password), then choose Re-run health check | On their own, once the check passes |
| The connected account or LinkedIn account disconnected | Reconnect it in Settings → Mail and Calendar or Settings → External apps | On their own, on reconnect |
| Too many of the sender’s emails bounced | Check where the bounced contacts came from and re-verify that list, then choose Mark healthy | When you mark it healthy |
| LinkedIn’s invitation or message limit | Wait, then choose Mark healthy | When you mark it healthy |
On the sender page, Sender actions contains Re-run health check, Mark healthy and Remove sender. The Mark healthy dialog states how many enrollments it will try to resume. You can also ask the agent to mark a sender healthy. It first previews how many contacts will resume, in which sequences, and why the sender stopped. It asks whether to resume them all or remove some from their sequences first; only the remaining contacts resume.
LinkedIn usually lifts a message rate limit within 24 hours and an invitation limit within about a week. Hitting either repeatedly can get the account restricted, so consider lowering its daily limit.
A contact stays paused if someone paused it by hand, if its sequence is paused, or if another sender it’s assigned to is still failing. Resume those with Resume on the enrollment. See Replies and troubleshooting.
Troubleshooting
Section titled “Troubleshooting”Sequence emails go out without a signature
Section titled “Sequence emails go out without a signature”Check Signature under Sender customization on the sender page. If Rich signature on connected accounts is on, check that your Mail and Calendar New emails and Replies signatures are not No signature.
An email step says senders don’t have signatures set up
Section titled “An email step says senders don’t have signatures set up”In a template email step, Sender signatures appear here. 2 senders don’t have signatures set up. marks the signature position. Hover over the count to identify the senders. They send unsigned until they add a Signature. Don’t type one into the step: it will repeat above each sender’s signature.
My LinkedIn account doesn’t show on my sender page
Section titled “My LinkedIn account doesn’t show on my sender page”Check your connection in Settings → External apps and open your own sender page. Sending requires LinkedIn steps. If connected but still missing, see Missing features.
For an API integration, see sender health and pacing.
Common questions
Section titled “Common questions”Do paused contacts resume after we fix a sender? Yes, after the sender recovers, unless another pause still applies. For bounce stops or LinkedIn limits, use Mark healthy. See When a sender stops sending.
Can I set a different signature for each sequence? No. Each person has one sequence signature, set on their sender page. Connected accounts can use their Mail and Calendar signature instead.
Can we turn off email verification for sequences? Yes. An owner or admin can turn on Skip email verification under Deliverability. It applies to the whole workspace and raises bounce risk; addresses that already hard-bounced stay blocked.
Can I connect LinkedIn from Settings → Sequences? No. Connect it in Settings → External apps. The Connect button on your sender page takes you there.
Can the agent change my signature? No. Change it on your sender page. The agent can mark a sender healthy and change which senders a sequence uses.
