General
Rename your workspace, list your company's domains, set the workspace-wide Do not track list, or delete the workspace.
General holds the settings that apply to the whole workspace: its name and URL, the domains that count as your company, the senders Lightfield ignores for every member, and deleting the workspace. Open Settings → General; the page is headed Workspace settings.
Who can use it
Section titled “Who can use it”General is on every plan. Only owners and admins see the General tab. Members and Viewers don’t, and opening the address directly shows You don’t have access to this page.
The agent can’t change these settings. Make the changes on this page.
Rename the workspace
Section titled “Rename the workspace”The Workspace URL is built from the Workspace name and can’t be edited on its own. Changing the name changes the URL, so send teammates the new address after you save.
- Open Settings → General.
- Under Workspace settings, edit Workspace name.
- Click Update.
Update stays grey until the name is different and not empty. When it works, Workspace URL shows the new address.
List your company’s domains
Section titled “List your company’s domains”Domains lists the email domains that belong to your company, such as acme.com. Lightfield doesn’t create accounts for these domains, and email and meetings among people on them count as internal. How records are created explains the internal-meeting rule.
- Under Domains, type a domain where it says Enter email domains and press Enter.
- To remove a domain, click its x.
Each change saves straight away; there’s no Update button.
- Connecting a work mailbox adds its domain for you. Public domains such as
gmail.comare never added. - A domain used for single sign-on is read-only. Hovering over it shows This domain cannot be modified because it is used for SSO.
- A domain can’t be on both lists. You can’t add a domain that is on Do not track, and you can’t put one of these domains on Do not track.
Stop tracking a domain for everyone
Section titled “Stop tracking a domain for everyone”For the difference between hiding synced activity and restricting access to CRM records, see Privacy and access.
The workspace Do not track list makes Lightfield ignore email and calendar events with the listed domains and addresses, for every member. Use it for people nobody on your team should have in the CRM, such as your law firm or your investors.
Each member also has a personal list of blocked senders on their own mailbox, covered in Mail and Calendar. The workspace list differs in three ways:
- It applies to every member’s mailbox, whatever their own list says.
- Only admins edit it.
- Nobody can connect a mailbox on a domain it lists.
Entries are domains (lawfirm.com) or single addresses (jane@lawfirm.com). Add an address when one person at a company shouldn’t be tracked and their colleagues should.
Saving hides matching email and meetings from every member and stops the recorder joining meetings with those people, so check each entry first.
- Open Settings → General.
- Under Do not track, type a domain or address and press Enter.
- Click Update List. Cancel discards your edits.
A message confirms Do not track list updated. Emails and meetings can take a few minutes to update.
To undo an entry, remove it and click Update List again. Lightfield re-checks the emails and meetings it already has, so records hidden by the entry come back.
Delete the workspace
Section titled “Delete the workspace”Deleting a workspace can’t be undone from the app. If you only want to stop paying, cancel your plan in Billing instead.
When you confirm:
- The workspace is disabled immediately.
- Its data is permanently deleted after 30 days.
- Your subscription is cancelled.
- Meeting recording, automated workflows and syncing with outside services stop.
- Members can’t create a new Lightfield workspace until the deletion request has been completed.
- Open Settings → General.
- Under Danger zone, click Delete workspace.
- In Confirm workspace deletion, type the workspace name under Enter the name of your workspace to confirm. Capital letters don’t matter.
- Tick I acknowledge that all workspace data will be deleted and want to proceed.
- Click Delete workspace & cancel subscription.
The button stays grey until the name matches and the box is ticked. When it works, Lightfield signs you out. If it fails, you see Failed to delete workspace. Please contact support@lightfield.app.
Troubleshooting
Section titled “Troubleshooting”I don’t see General in Settings
Section titled “I don’t see General in Settings”Only owners and admins see General. Ask an admin to make the change.
Do not track won’t save
Section titled “Do not track won’t save”The page shows the reason in a message. The usual one is Cannot block domains owned by this workspace, followed by the entries. Your own domains under Domains, and any domain used for single sign-on, can’t go on Do not track. Remove those entries and click Update List again.
Update List is also grey while any entry isn’t a valid domain or email address. Remove the entry that isn’t.
A mailbox won’t connect because of its domain
Section titled “A mailbox won’t connect because of its domain”The domain is on Do not track. Remove it from the list, click Update List, then connect the mailbox again.
Emails still show after I added a domain
Section titled “Emails still show after I added a domain”Hiding runs in the background and can take a few minutes. If matching emails are still there after that, check the entry for typos. For other reasons an email is missing or present, see Mail and Calendar troubleshooting.
Common questions
Section titled “Common questions”Does the workspace Do not track list replace my own blocked senders? No. The two lists work together, and an email is ignored if either one matches. The workspace list covers every member’s mailbox; yours covers only yours.
Can I put my own company’s domain on Do not track? No. Lightfield refuses domains listed under Domains, and your single sign-on domain, on this list.
Does adding a domain under Domains stop its email from syncing? No. Domains tells Lightfield who is on your team, so it doesn’t create accounts for them and treats email among them as internal. To stop email from syncing, use Do not track.
Can I restore a workspace I deleted? Not from the app. Deleting disables the workspace at once and permanently deletes its data after 30 days. Email support@lightfield.app right away if you deleted it by mistake.
