Meeting prep
Read the brief Lightfield writes before each meeting, correct or regenerate it, and change what it covers for your workspace.
Before your upcoming meetings, Lightfield writes a Meeting prep document so you walk in with context. It’s generated ahead of time, typically the day before, and you’re notified when it’s ready. You’ll find it on the meeting page.
Who can use it
Section titled “Who can use it”Meeting prep is on every plan. Anyone who can edit the meeting can correct or regenerate it. Admins change what it covers for the whole workspace.
What meeting prep covers
Section titled “What meeting prep covers”By default, meeting prep has four sections:
- About the company you’re meeting.
- Attendees: who they are and what they care about.
- Relationship history: recent interactions and where the deal stands.
- What do they need from us?
Lightfield is instructed to keep meeting prep to about 400 words and no more than 700, so you can read it before the call. Workspace instructions control the sections and format; the length instruction still applies when they ask for more detail.
It draws on the meeting’s attendees, the account’s history and fields (including custom fields), and your workspace Knowledge.
It can also search the web and read public pages about the attendees and their company, which helps most before a first meeting, when your CRM has little on them.
It doesn’t read your chat threads, but if a chat updates an account’s fields, the next meeting prep includes those updates.
Correct meeting prep
Section titled “Correct meeting prep”Meeting prep is written by AI. Click it on the meeting page to edit it. Lightfield keeps your edits in mind when it regenerates the prep.
Regenerate meeting prep
Section titled “Regenerate meeting prep”Regenerate after new emails or field updates so the prep reflects them.
- Open the meeting.
- Open the menu next to the Meeting prep title.
- Choose Regenerate.
The title shows Meeting prep regenerating… until the new version is ready. You can also ask the agent in chat to regenerate the meeting prep for a meeting.
Change what meeting prep covers
Section titled “Change what meeting prep covers”For a quick change to the shared instructions, ask the agent in chat. Use Workspace knowledge when you want to keep the instructions alongside other guidance your team maintains:
- With Knowledge. Go to Knowledge in the left sidebar, click Add knowledge, and describe how you want meeting prep structured, for example the sections you want and what goes in each. Only admins add Workspace knowledge. See Knowledge.
- In chat (admins). Ask the agent to change the meeting prep instructions for your workspace, for example “Update our meeting prep instructions to add a section on open support issues.”
New instructions apply to every meeting prep generated afterward. Regenerate one to check the result.
Troubleshooting
Section titled “Troubleshooting”Meeting prep didn’t change after I updated the account
Section titled “Meeting prep didn’t change after I updated the account”Meeting prep is written ahead of the meeting, so later changes don’t appear until you regenerate it.
- Regenerate it from the menu next to the Meeting prep title, and wait for the “regenerating” label to clear.
- Make sure the information is saved on the account, for example in a field, not only in a chat.
- If you used Knowledge, check that the entry clearly says it’s about meeting prep and what you want.
If it still isn’t working, give the agent the meeting and the result you expected so it can investigate.
Common questions
Section titled “Common questions”When is meeting prep generated? Ahead of the meeting, typically the day before. You’re notified when it’s ready.
Does meeting prep use information from the web? Yes. It can search the web and read public pages about the attendees and their company.
Will my edits survive a regenerate? Lightfield treats them as corrections and keeps them in mind when it writes the new version.
Why is my meeting prep shorter than my instructions ask for? Lightfield is instructed to keep meeting prep brief, even when your instructions ask for more detail. Your instructions change what it covers and how it’s organized.
Can members change the meeting prep template? No. Workspace instructions are changed by admins, in chat or with Workspace knowledge.
