Transcripts
Add transcript sources, choose the primary transcript and log past calls.
When Lightfield records a meeting, the transcript appears on the meeting automatically. For calls it didn’t record, such as a phone call, a call where the recorder wasn’t admitted, or a call you took with another notetaker, you can add the transcript yourself. Lightfield then treats it like any other transcript: it writes the summary, pulls out tasks and suggests record updates from it.
Who can use it
Section titled “Who can use it”Every plan can add transcripts. To upload one to a meeting, you need to be a participant in the meeting or a workspace admin. Viewers can’t add transcripts.
Earlier plans can differ. Check your workspace’s available features.
Upload a transcript to a meeting
Section titled “Upload a transcript to a meeting”You can upload once the meeting has ended, or during a meeting once recording has been turned off. Files must be .txt or .md and under 0.5 MB.
- Open the meeting in Lightfield.
- Open the three-dot menu in the meeting header and choose Upload transcript. If the meeting has no transcript yet, you can also click Upload transcript on the meeting’s Transcript tab.
- Choose the file.
The toast Transcript uploaded successfully. confirms it worked. If the meeting already has a transcript, such as Lightfield’s own recording, the upload is added alongside it and doesn’t become the primary on its own. To use it, make it the primary.
Choose which transcript a meeting uses
Section titled “Choose which transcript a meeting uses”A meeting can hold transcripts from several sources: Lightfield’s recorder, Gong, Granola and uploaded files. One of them is the primary transcript. The summary, tasks and suggested updates come from it, and the agent uses it when you ask about the meeting.
By default, Lightfield’s own recording is the primary, then Gong, then Granola, then an uploaded file. To change it:
- Open the meeting.
- In the header, click Source and choose another transcript, such as Uploaded. The current primary is tagged Primary.
- In the banner Make Uploaded the primary source for this meeting?, click Use Uploaded.
The summary and suggestions regenerate from the new primary.
Add a transcript in chat
Section titled “Add a transcript in chat”Open the meeting, or name it in your message, and ask the agent, for example “Add this transcript to my meeting with Acme on Tuesday.” Then paste the transcript text or share a link to a publicly accessible text file. The agent attaches it to the meeting. This adds existing transcript text; it is not an instruction to transcribe an audio or video file. See Files and attachments.
A file that arrived as a synced email attachment can’t also become a meeting transcript: it already belongs to the email. Paste its text into chat instead, or save a separate .txt or .md copy and upload it to the meeting.
Log a meeting that isn’t in Lightfield
Section titled “Log a meeting that isn’t in Lightfield”Meetings come from your synced calendars, and there’s no button to create one. For a conversation that was never on a synced calendar, such as an in-person meeting or a phone call:
- Ask the agent in chat. Describe the meeting, for example “Log a call with Dana Kim at Acme yesterday at 2pm,” and the agent creates it as a past meeting. Then ask it to attach the transcript. The agent only logs meetings that already happened.
- Use the API. The Lightfield API can create a past meeting and attach its transcript, which suits importing calls from a dialer or call recorder. See Uploading meeting transcripts.
- Add it as a note. Open the account or opportunity, click Create note, and paste in the transcript or your notes. The agent reads notes along with emails and transcripts. For a lot of history, notes on the account are often simplest. See Notes.
Download a transcript
Section titled “Download a transcript”Open the meeting’s three-dot menu and choose Download transcript.
Gong and Granola
Section titled “Gong and Granola”Gong and Granola have built-in syncs that attach their transcripts to your matching meetings, with no automation needed. An admin sets them up in Settings → Integrations. See Gong and Granola.
Other notetakers
Section titled “Other notetakers”Check Settings → Connectors for your notetaker. Available connectors vary by workspace. Each member connects their own. See Connectors.
Once connected, the agent can search that tool’s notes when you ask about an account or meeting. A connector doesn’t import anything into your CRM on its own, so its notes don’t appear on your meetings until you add them, by hand or with an automation.
Attach notes automatically with an automation
Section titled “Attach notes automatically with an automation”Automations are on the Pro, Growth and Enterprise plans, and only admins create them. An admin can set up an automation that adds another notetaker’s transcript text to your meetings:
- If your notetaker can send a webhook when a transcript is ready (Circleback and Fathom can, for example), ask Lightfield in chat to build an automation with a webhook trigger that attaches incoming transcripts to the matching meetings.
- If your notetaker has a connector, turn on Use in workflows and automations for it in Settings → Connectors, then ask Lightfield in chat to build an automation that copies its notes into matching meetings.
See Build an automation.
Troubleshooting
Section titled “Troubleshooting”I added a transcript, but the summary didn’t change
Section titled “I added a transcript, but the summary didn’t change”The upload most likely isn’t the primary transcript. When a meeting already has a recording, an uploaded transcript is added alongside it. Click Source in the meeting header, choose Uploaded, then click Use Uploaded. The summary regenerates from it.
I don’t see Upload transcript
Section titled “I don’t see Upload transcript”Check three things:
- The meeting has ended, or recording is turned off for it.
- You’re a participant in the meeting or an admin.
- You aren’t a Viewer. Viewers can’t add transcripts.
Related documentation
Section titled “Related documentation”To download transcripts from an integration, follow Retrieving meeting transcripts. To attach transcript files, follow Uploading meeting transcripts. Both guides link to the meeting and file endpoint contracts.
Common questions
Section titled “Common questions”Which file formats can I upload?
Plain text (.txt) and Markdown (.md), under 0.5 MB. For other formats, paste the text into chat and ask the agent to attach it.
Are uploaded transcripts searchable? Yes. Uploaded transcripts are indexed like recorded ones, and the agent uses them in answers about the account and opportunity.
Does connecting Fireflies or Otter add their notes to my meetings? No. A connector lets the agent search those notes when you ask. To attach them to meetings, upload them or have an admin build an automation.
Can I add a transcript to a meeting from last year? Yes, if the meeting is in Lightfield. If it isn’t, ask the agent to log it as a past meeting first.
