Notes

Write notes on accounts, opportunities and contacts, and log calls and conversations from tools Lightfield doesn't connect to.

Notes capture context that isn’t in an email or meeting: observations, strategy, handoff notes, anything worth remembering. A note is a rich text document. You can format text, add links, paste Markdown, mention records, and add labels.

A note can link to accounts, opportunities, contacts, meetings and custom object records.

Notes are on every plan. Owners, admins and members can create and edit notes. Viewers can see notes but can’t change them.

Create the note from the record when it is about a particular account, opportunity or contact, so teammates find it with that record.

  1. Open the account, opportunity or contact.
  2. Click Create note.
  3. Write your note. It is linked to the record automatically.

You can also create a note in either of these places:

  • From Notes: open Notes in the sidebar and select Create note. A blank note opens; link it to a record afterward.
  • In chat: “Create a note on the Acme account: Anthony confirmed budget for 9 seats and wants to close by the end of April.” The agent can link the note to accounts, opportunities and contacts.

If the contact or opportunity you want to link doesn’t exist yet, choose Create new contact or Create new opportunity when you add it. The new record is linked to the note.

When a note is about a specific deal, link it to both the account and the opportunity. Before you hand a deal to a new owner, write a handoff note on the opportunity so the context is waiting for them.

Open the note and edit it directly, or ask the agent: “Update the Acme note: Anthony confirmed 9 power users and wants to start in May.”

Lightfield syncs your connected mail and calendar, records meetings, and has built-in integrations. For a phone call, a dialer or any other tool it doesn’t connect to, bring the conversation in one of these ways:

  • A note. Best for a short call summary. Create a note on the contact or account, or paste the summary in chat: “Log a note on Acme: 15-minute call with Sarah, she’s moving the renewal to Q3.”
  • A meeting, logged in chat. Best when you want the call on the timeline like a calendar meeting. Ask: “Log a phone call with sarah@acmecorp.com yesterday from 2 to 2:30pm about the renewal.” The agent creates a meeting in the past with the attendees you name. It exists only in Lightfield and never syncs to a calendar. You can then ask the agent to add a transcript to it. See Transcripts.
  • Automatically, from the other tool. If the tool can send webhooks, an admin can build an automation that turns each call into a note or meeting. See Automations.
  • Through the API. Create notes and past meetings, with transcripts, from your dialer or your own code. See Uploading meeting transcripts.

There’s no Log call button in the app. To keep phone numbers on contacts, use a Telephone field.

There can be a short delay. Refresh the page after a moment. If you filtered the table, clear the filter, or check the linked record.

”The note couldn’t be linked, so it was moved to the trash”

Section titled “”The note couldn’t be linked, so it was moved to the trash””

When a note created from a record can’t be linked to it, Lightfield moves the note to Deleted items rather than leaving it unlinked. Create it again from the record.

How do I log a call I made outside Lightfield? Ask the agent in chat to log it as a note or as a meeting on the contact, or create a note on the contact yourself.

Can the agent write a note for me? Yes. Tell it what to write and which account, opportunity or contact to put it on.

Can I export my notes? Yes, by asking the agent. See Tables, views and exports.
