title: Tasks | Lightfield
description: Create tasks, set due dates and reminders, assign them to teammates, and find a contact's or account's tasks.
---

Tasks track commitments and follow-ups. Lightfield can suggest or create tasks from your meetings and emails, and you can create them yourself at any time.

A task has a **Title**, an optional description, a **Status**, an **Assignee**, a **Due date**, and the accounts and opportunities it relates to. On the task’s own page you can also link contacts and add **Labels**. Statuses are **Todo**, **In progress**, **Done** and **Canceled**.

## Who can use it

Tasks are on every plan. Owners, admins and members can create and edit tasks. Viewers can see tasks but can’t change them.

## Where tasks come from

- **Meetings.** Lightfield listens for commitments in recorded meetings, such as “I’ll send the order form by Friday.”
- **Emails.** Lightfield scans emails with customers and prospects for commitments, such as “I’ll check with our co-founder on the roadmap.”
- **Chat.** Ask the agent to create one task or many.
- **By hand.** Create a task from **Tasks** or from a record.

By default, tasks from meetings and emails arrive as suggestions on the related account or opportunity and on [Up next](/help/up-next/index.md), for you to accept or dismiss. Admins choose whether Lightfield suggests tasks, creates them without review, or does neither. See [Task settings](/help/settings/tasks/index.md).

## Create a task

1. Open **Tasks** in the sidebar and select **Create task**. To link the task to a record automatically, create it from the account or opportunity instead.
2. Enter a title, and set **Assignee** (you, by default), **Due date** and the account or opportunity.
3. Select **Create task**.

The task appears in **Tasks** and on the linked records.

If the contact or opportunity you want to link doesn’t exist yet, choose **Create new contact** or **Create new opportunity** when you add it. The new record is linked to the task.

Or ask the agent in chat:

- “Create a task to follow up with Anthony at Acme Analytics by Friday.”
- “Create a task for Matt: review the Cavendish demo recording.”

When you name an account or deal in the request, the agent links the task to it.

## Set a due date or reminder

- **Due date:** pick **Today**, **Tomorrow**, **7d from now**, **30d from now** or **Custom** when you create the task, or change it later. Not every task needs one.
- **Reminder:** in **Tasks**, open the task’s row menu, choose **Remind me**, then **In an hour**, **Tomorrow**, **Next week**, **Next month** or **Custom**. The day presets remind you at 9:00 AM.

In chat, relative dates work: “Remind me Friday afternoon to review the Northwind proposal.”

Choose how you’re notified about due dates, reminders and assigned tasks in [Settings → Notifications](https://crm.lightfield.app/crm/settings/notifications/). See [Notifications](/help/settings/notifications/index.md).

## Assign a task to a teammate

Set the **Assignee** to any workspace member when you create or edit the task, or ask the agent: “Assign the clean up Acme Analytics task to Austin.” The assignee is notified, depending on their notification settings.

When you hand off a deal, ask for a task and a [note](/help/notes/index.md) together: “Create a task for Henri: schedule an intro call with Anthony at Acme Analytics. I’ve already sent him a proposal.”

## Complete or cancel a task

1. Open the task and click its **Status** field.
2. Choose **Done** when the work is finished, or **Canceled** when it no longer needs doing.

The status updates on the task. Done and canceled tasks stop appearing in [Up next](/help/up-next/index.md). To reopen one, change its status to **Todo** or **In progress**. Changing a task’s status does not stop Lightfield from suggesting future tasks; an admin controls that in [Task settings](/help/settings/tasks/index.md).

## Find a contact’s tasks

1. Open **Tasks** and select **Filter**.
2. Choose **Contacts** and pick the contact.

The table shows only that contact’s tasks. Filter by **Account**, **Opportunity**, **Assignee**, **Status** or **Due at** the same way, and save the filters as a view to reuse them. See [Tables, views and exports](/help/getting-started/tables-views-and-exports/index.md).

You can also open the contact and its **Tasks** tab, or ask the agent: “Show me open tasks for Sarah Chen.”

## Troubleshooting

### Lightfield isn’t creating tasks from my meetings

By default, Lightfield finds the commitments but leaves them as suggestions on the related account or opportunity until you accept them. If suggestions are limited to record owners, only the owner sees them. If you see no suggestions at all, ask an admin to check [Task settings](/help/settings/tasks/index.md), and check that the meeting was recorded or has a transcript.

### A task I created doesn’t appear

There can be a short delay. Refresh the page after a moment. If you filtered the table, clear the filter or check the **Tasks** tab on the linked record.

## Common questions

**Can I filter the Tasks page to one contact’s tasks?** Yes. In **Tasks**, select **Filter**, choose **Contacts** and pick the contact. You can also ask the agent to list that contact’s tasks.

**How do I set a reminder on a task?** Choose **Remind me** in the task’s row menu in **Tasks**, or ask the agent to remind you at a time you name.

**How do I stop Lightfield from creating tasks automatically?** Ask an admin to turn task creation off in [Settings → Tasks](https://crm.lightfield.app/crm/settings/tasks/). See [Task settings](/help/settings/tasks/index.md).

**Can I export my tasks?** Yes, by asking the agent, for example “Export every open task assigned to me.” See [Tables, views and exports](/help/getting-started/tables-views-and-exports/index.md).
