title: Recording | Lightfield
description: Choose which of your meetings Lightfield's recorder joins by default, including internal meetings and internal 1:1s.
---

Recording sets your default for which meetings Lightfield’s recorder joins: external meetings only, all meetings, or none. It applies to meetings you participate in, and you can override it for a single meeting from the meeting page.

## Who can use it

Owners, admins and members, on every plan. Viewers don’t see **Recording**. Your choice applies only to you. Admins control recording for the whole workspace, including turning it off, in [Settings → Meetings](https://crm.lightfield.app/crm/settings/meetings/); see [Meetings settings](/help/settings/meetings/index.md).

## Choose your recording default

Your setting isn’t the only one that counts. A meeting records automatically if any workspace member in it, with a connected calendar, has a setting that covers that kind of meeting. So if you choose **Don’t record** but a teammate on the same call records external meetings, the call is recorded. To skip one meeting, turn recording off for it from the meeting page.

1. Go to [Settings → Recording](https://crm.lightfield.app/crm/settings/recording/).

2. Pick an option. It saves when you click it.

   - **Record external meetings only** (default): Lightfield records meetings you participate in that have external participants.
   - **Record all meetings**: Lightfield records all meetings you participate in, including internal ones.
   - **Don’t record**: Lightfield doesn’t record your meetings by default. You can still record individual meetings from the meeting page.

The option you picked shows as selected. Keep **Record external meetings only** unless you want internal meetings such as pipeline reviews summarized too. To record only some internal meetings, keep the default and turn recording on for those meetings from the meeting page; see [Meetings](/help/meetings/index.md).

## Invite Lightfield to one meeting

To sync and record a meeting your defaults would skip, invite **<recorder@lightfield.app>** on its calendar event. This overrides attendees’ Calendar sync and personal recording defaults, including **Don’t record**, and the workspace’s **Default recording off** list. An external attendee doesn’t need to be a contact already. The recorder address is a system address, so Lightfield doesn’t create a contact for it.

The event must be on a workspace member’s synced calendar and include a Zoom, Google Meet or Microsoft Teams link. Workspace recording must be enabled, and the meeting must not be blocked or have recording explicitly turned off. Inviting the recorder does not override those controls.

1. Open the calendar event in Google Calendar or Outlook.
2. Add **<recorder@lightfield.app>** as a guest, then save the event and send the invitation.
3. When the call starts, admit the Lightfield recorder if it is waiting for the host.

The meeting appears in Lightfield and the recorder joins as a visible participant. After the call is processed, open the meeting to read its summary and transcript. To skip that meeting, turn recording off from its meeting page before it starts.

## Leave out internal 1:1s

When you choose **Record all meetings**, a menu appears on that row:

- **Include internal 1:1s** (default): two-person internal meetings record too.
- **Exclude internal 1:1s**: two-person internal meetings with a teammate aren’t recorded.

Pick **Exclude internal 1:1s** if your 1:1s are coaching or personal conversations you don’t want summarized.

Recording an internal meeting is separate from tracking it. For internal meetings to sync by default, set your connected account’s **Calendar sync** to **All meetings**; see [Calendar sync](/help/settings/mail-and-calendar/#calendar-sync/index.md). To sync and record one internal meeting instead, [invite Lightfield](#invite-lightfield-to-one-meeting) to it.

## Troubleshooting

### My meeting recorded even though I chose Don’t record

A teammate’s recording default may cover the meeting, or someone invited **<recorder@lightfield.app>**, which overrides personal defaults. Turn recording off for that meeting from its meeting page before it starts.

### I can’t change my recording setting

The page shows **Recording with Lightfield has been disabled by a workspace admin.** An admin turned off recording for the whole workspace in [Settings → Meetings](https://crm.lightfield.app/crm/settings/meetings/), so no meetings record, whatever you choose here. Ask an admin to turn it back on.

### A meeting didn’t record

Your default is only one of the checks. The meeting also needs a supported video link, an admitted recorder, and attendees who aren’t on a blocked list. See [A meeting did not record](/help/meetings/missing-recording/index.md) for the checklist.

## Common questions

**How do I stop Lightfield recording my meetings?** Choose **Don’t record** in [Settings → Recording](https://crm.lightfield.app/crm/settings/recording/). A teammate’s setting or a [recorder invitation](#invite-lightfield-to-one-meeting) can still record a meeting.

**Can I record internal meetings?** Yes. Choose **Record all meetings**, or [invite Lightfield](#invite-lightfield-to-one-meeting) to one meeting. For meetings already synced to Lightfield, you can also turn recording on from the meeting page.

**Do external participants’ settings affect recording?** No. External participants’ personal recording preferences do not change your Lightfield defaults. A recorder invitation is a separate request to record, subject to your workspace and meeting-level controls.

**Does changing my setting affect meetings already recorded?** No. It sets the default for meetings from now on; recordings you already have stay.
