title: Email signatures | Lightfield
description: Create an email signature in Lightfield, or bring over the one you use in Gmail, Outlook or Apple Mail by pasting its HTML.
---

Lightfield attaches a signature to the emails you write and reply to from it. You can build one in the editor, or paste the HTML of the signature you already use and check it in **Preview**.

## Who can use it

Every plan. Each person sets up their own signatures. Viewers don’t see **Mail and Calendar**, so they can’t add one.

## Create a signature

1. Go to [Settings → Mail and Calendar](https://crm.lightfield.app/crm/settings/mail-and-calendar/) and open the **Signatures** tab.
2. Click **Create new** to build one, or **Paste HTML** to bring over an existing signature (see [Find the HTML for your signature](#find-the-html-for-your-signature)).
3. Give it a name, then write the signature, or paste its HTML into **Signature HTML**. The **Preview** shows how it will look.
4. Click **Add signature**. It shows under **Your signatures**.
5. Under **When to attach**, choose the signature for **New emails** and for **Replies**. Choose **No signature** to send without one.

Your first signature is set for **New emails** automatically. **Replies** stays on **No signature** until you choose one, so pick a reply signature too if you want replies signed. Signatures you add later aren’t attached until you choose them under **When to attach**.

You can keep several signatures. Use a signature’s actions menu to **Edit** it or **Delete signature**. Deleting the one chosen for **New emails** or **Replies** sets that option back to **No signature**.

## Find the HTML for your signature

Use hosted images (a public web address) rather than embedded ones. Lightfield warns you when the HTML has embedded images, because some email apps don’t show them and large ones hurt deliverability.

### Gmail

Gmail has no “view HTML” option, so copy it from the signature editor with your browser’s Inspect tool:

1. In Gmail, go to the gear icon → **See all settings** → **General**, and scroll to **Signature**.
2. Right-click inside your signature and choose **Inspect** (Chrome or Edge) or **Inspect Element** (Firefox).
3. In the developer tools, find the smallest element that wraps just your signature, not the whole settings page.
4. Right-click that element and choose **Copy → Copy outerHTML** (Chrome or Edge) or **Copy → Outer HTML** (Firefox).
5. Paste it into a plain text editor to check it before adding it to Lightfield.

### Outlook for Windows (classic desktop app)

Classic Outlook saves each signature as local files, including an `.htm` file with the full HTML:

1. In File Explorer, turn on hidden items (**View** → **Hidden items**), since the AppData folder is hidden.
2. Go to `C:\Users\<your user name>\AppData\Roaming\Microsoft\Signatures`.
3. Find the `.htm` file with your signature’s name.
4. Right-click it and choose **Open with → Notepad** (double-clicking opens it as a web page instead).
5. Select all and copy.

The new Outlook for Windows stores signatures in the cloud. Use the Outlook on the web steps instead.

### Outlook on the web (Outlook.com, Microsoft 365, new Outlook)

1. Go to **Settings → Mail → Compose and reply**, where your signature is shown.
2. Right-click inside the signature and choose **Inspect** or **Inspect Element**.
3. Find the element that wraps your signature, right-click it and choose **Copy → Copy outerHTML**.
4. Paste it into a text editor to check it.

### Apple Mail (Mac)

1. In Finder, press Cmd+Shift+G and go to `~/Library/Mail/V10/MailData/Signatures`. The version number may differ (V9, V11 and so on). Sort by date modified to find the right folder.
2. Find the `.mailsignature` file that matches when you last edited your signature.
3. Right-click it and choose **Open With → TextEdit**.
4. Copy everything from the opening `<body>` tag through the closing `</body>` tag.

## Signatures in sequences

Sequence emails use each sender’s own sequence signature, set in [Settings → Sequences](https://crm.lightfield.app/crm/settings/sequences/), unless that sender turns on **Rich signature on connected accounts** to use these Mail and Calendar signatures instead. See [Sequences settings](/help/settings/sequences/index.md).

## Troubleshooting

### My signature doesn’t show on my emails

Check which signature is chosen for that kind of email. Go to [Settings → Mail and Calendar](https://crm.lightfield.app/crm/settings/mail-and-calendar/) → **Signatures** and, under **When to attach**, choose a signature for both **New emails** and **Replies**. Replies start on **No signature**, even after you create your first signature.

Sequence emails follow different rules; see [Signatures in sequences](#signatures-in-sequences).

### Images don’t show after pasting

The image in your HTML points to a local file or an email attachment rather than a public web address. This is common with Outlook.

1. Find the image file (for Outlook, it’s next to the `.htm` file in the Signatures folder).
2. Upload it somewhere public, such as your website, and copy the direct link to the image.
3. In the HTML, replace the image’s `src` value with that link.
4. Paste the updated HTML into Lightfield and send yourself a test email.

### The signature is too large to save

You see **This signature is too large to save (1 MB total limit).** Signatures are limited to 1 MB in total, and embedded images usually push them over. Replace embedded images with hosted image links, as in [Images don’t show after pasting](#images-dont-show-after-pasting), then save again.

## Common questions

**Why doesn’t my signature show on replies?** Replies have their own setting. Under **When to attach**, choose a signature for **Replies**; it starts on **No signature**.

**Which signature do sequence emails use?** The sender’s sequence signature from Settings → Sequences. A sender who turns on **Rich signature on connected accounts** gets these **New emails** and **Replies** signatures instead.

**Can I use my Gmail or Outlook signature?** Yes. Copy its HTML using the steps above, click **Paste HTML**, and paste it into **Signature HTML**.

**Can I have more than one signature?** Yes. Keep several, and choose one for **New emails** and one for **Replies**.
